Privacy Policy

GlowOS ("GlowOS," "we," "our," or "us") is a product of Buena Vista Vision, Inc. This Privacy Policy explains how we collect, use, and protect information when you use GlowOS at glowospro.com.

1. Information We Collect

Information you provide directly:

Account information: your name, email address, and community name when you create an account. If you sign in with Google, we receive your name, email address, and profile basics from Google.
Community data: events, run-of-show documents, checklists, newsletters, photos, page content, dues records, and other information you enter to run your community.
Member and contact data: names, email addresses, and profile details that organizers add, or that members submit themselves when they join, RSVP, or complete their portal profile. Members control their own directory visibility settings.
Billing information: payment details are collected and processed directly by Stripe. We never store card numbers.

Information collected automatically:

IP address, used for rate limiting and security
Browser and device type
Pages visited and features used (usage patterns, not content)
Error and crash reports, used to keep the service reliable

2. How We Use Your Information

To provide, operate, and improve GlowOS
To send sign-in codes and account-related email
To send newsletters, event invitations, and member communications on your community's behalf, at your direction
To generate AI drafts, run-of-show documents, digests, and other agent output from your community data
To process payments and manage subscriptions, dues, and ticket sales
To enforce our Terms of Service and prevent abuse

3. Your Community's Data

Organizers decide what member data lives in their community and how it is used. We process that data solely to provide GlowOS to your community. Members can update their own profile and directory visibility at any time, and can ask their community admin, or us, to correct or delete their information.

4. Service Providers

We share data with a small set of processors, solely to operate GlowOS:

Cloud database provider, which stores account and community data
Stripe, which processes payments, subscriptions, dues, and ticket sales
Transactional email provider, which delivers sign-in codes, newsletters, and notifications
AI model providers, including Anthropic, which power AI features. Community data sent to generate AI output is governed by the provider's API terms, and is not used to train their models
Google Analytics, on our public marketing pages only, to understand site traffic
Error monitoring provider, which receives technical error reports

We do not sell your data. We do not use your data for advertising.

5. Data Retention

We retain account and community data for as long as your account is active. If you close your account or request deletion, we delete your data within 30 days, except where retention is required by law.

6. Cookies and Browser Storage

GlowOS uses a session cookie and browser storage to keep you signed in. Our public marketing pages use Google Analytics cookies to measure traffic. We do not use advertising or cross-site tracking cookies.

7. Security

Access codes are stored as HMAC-SHA256 hashes, never in plain text. Integration tokens are encrypted at rest. All data is transmitted over HTTPS. Database credentials are held server-side only and never reach the browser.

8. Your Rights

You may request access to, correction of, or deletion of your personal data at any time by emailing support@glowospro.com. We respond within 30 days.

9. Children's Privacy

GlowOS is intended for use by adults 18 and older. We do not knowingly collect data from children under 13.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you by email at least 14 days before material changes take effect. Continued use of GlowOS after changes take effect constitutes acceptance.
